Position: Treatment Coordinator
Department: Dental Clinic
Status: Full-Time, Non-Bargaining
FLSA: Non-Exempt
Position Purpose: Under the direction of the Dental Clinic Manager, the Treatment Coordinator serves as a patient advocate and educator by presenting patients with treatment plans, explaining insurance contributions, and discussing the patient's financial resources. Treatment Coordinators support providers by exhibiting an efficient, knowledgeable, and positive demeanor during every patient interaction. The Treatment Coordinator uses communication skills, knowledge of financial management, and in-depth understanding of various treatments and procedures to help patients understand the value of investing in their oral health.
Essential Functions: - Participate in team huddles daily.
- Welcome patients in a friendly, professional manner; greeting them promptly and engaging in conversation.
- Scheduling and confirming of appointments for patients.
- Answering phone calls and voicemails in a professional and timely manner.
- Maintain patient accounts and records.
- Verify insurance information 1-2 days prior to the patient's scheduled appointment to ensure it is current and accurate, update records if necessary.
- Act as a subject matter expert on the insurance plans accepted by KMC, including their limitations and exclusions.
- Meet with patients to discuss the treatment that has been recommended by providers, establish a treatment schedule, explain insurance contributions, and establish a financial agreement.
- Preparing and providing patient portion estimates that services that will be rendered.
- Submit insurance claims to each patients' insurance company with accuracy.
- Collection of payments from patients on any amount owed, including current treatment being performed, and past due balances.
- Liaise between patients, dentists, hygienists, and other clinic team members.
- Follow up on any unscheduled treatments.
- Upon checkout, ensure every patient and their family members have future hygiene, treatment, and or specialty appointments scheduled, as applicable.
- Follow up on specialty referrals to ensure treatment is scheduled and completed; ensure completed treatment is communicated back to the referring Dentist.
- Fill holes in the schedule to ensure maximum production.
- Check for accuracy in the daily schedule per checklist guidelines.
- Maintain a professional setting in the waiting area.
- Accurately process daily deposits.
- Address patient complaints in a timely and compassionate manner, transition escalated patients to management as appropriate.
Job Qualifications/Experience/Skills: - A High School Diploma or GED ( required )
- Associate degree ( preferred )
- Treatment coordination 1 year ( preferred )
- Experience in the dental field preferred but not ( required ). Willing to train for the right candidate.
- Ability to solve practical problems, interpret a variety of instructions and manage multiple tasks with accuracy
- Organize materials and information to optimize and minimize duplication of effort
- Basic knowledge of computer applications and ability to learn additional computer applications
Working Conditions/Physical Requirements: - Able to use hands repetitively and for an extended period of time
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift and or move up to 25 pounds
- Occasional bending, stooping, reaching, and lifting
- Must be able to access and navigate each department at the organization's facilities
